The description: Small architectural office in Silver Lake seeks part-time Office Manager. Strong organizational skills and the ability to work independently and reliably required. Management duties include: preparing AIA (American Institute of Architects) contract agreements, managing publications, supplies, mail and incoming calls, filing and assisting directors with administrative tasks, communication between the finance team and managers. Additionally, this position will handle all internal public relations such as managing social media accounts, updating the company website, producing newsletters, preparing award submissions and conference presentations, and communication with the external PR team. Finally, the person occupying this position will also act as project manager for a special project, a live performance and an associated book publication, in the fall of 2022.

Essential tasks:

General office

  • Manage all communications – Responsible for EGARCH’s main email account, returning voicemails, incoming mails, etc.

  • Keep the office running and organized: Order office supplies as needed. Keep all software up to date.

  • Organize meetings – keep Google Calendar up to date.

  • Prepare contractual agreements for new projects.

  • Conduct orientation sessions for new employees.

  • In general, maintain frequent communication with managers, keeping an eye out for any items that need to be addressed.


Public relations

  • Maintain your presence on Instagram/Facebook.

  • Create and send a seasonal newsletter outlining recent projects and events using MailChimp.

  • Assist principals in preparing presentations.

  • Assist managers in preparing price quotes.

  • Keep the website updated with new projects and elements.

  • Organize house tours for journalists, curators, etc. interested.

  • Prepare project packages for the media.

  • Monthly meetings with external PR advisor and managers.

Participate in special projects with the directors

Terms: The position is 20 to 25 hours per week or approximately 4 days and is paid by the hour. A driver’s license/ability to drive is required, but having a car is not essential. Proficiency in MS Word and Excel is essential. Some experience with Adobe Suite is required.

Other info: A friendly office with dedicated workers. Directors are big supporters of the arts and often work in exhibition design and are known for their collaborations with artists.
